Summary:
The Spa Coordinator will be responsible for overseeing the daily operations of our spa, ensuring exceptional customer service, and coordinating appointments and schedules.

Responsibilities
- Manage the spa concierge and greet and assist patients.
- Provide expert advice to patients regarding company product lines, while encouraging and selling products.
- Responsible for distributing online product orders.
- Knowledge of all cosmetic procedures, spa treatments and provider specialties.
- Educate patients on procedures and treatments and in the use of skin care products to increase sales of products and overall production.
- Schedule appointments for patients in compliancy with provider guidelines, deposit recommendations, financing options and business needs.
- Follow up on patient contacts, appointments and post care treatment regimens and long-term patient care plan.
- Coordinate post treatment follow up as needed.
- Utilize systems as needed for appointment tracking, patient follow up and determination of monthly figures, rebooking and opportunities.
- Offer suggestions for improvements from time patient inquiry enters office, to consultation, to appointment, to follow up to future goals. For example, there is an opportunity to build a relationship with patients after their initial contact but before their consultation appointment.
- Use email, phone and other online services to increase and maintain patient base.
- Assist in coordinating marketing for skin care products, spa services and cosmetic treatments.
- Assist in designing seasonally and event related product displays and online marketing campaigns.
- Adherence to compliance and completion of compliance training.
- Be competent in posting to and monitoring our social media platforms
- Perform register transactions/sales
- Performs other related duties as assigned.
Qualifications
Education
- High school diploma, GED/HSED, or equivalent.
- Bachelor’s degree preferred.
Knowledge, Skills and Abilities
- Must be detail oriented.
- Must have excellent communication skills and the ability to communicate effectively orally and in writing.
- Demonstrated leadership experience. Must be able to demonstrate leadership by serving as an example to others with regard to professional behavior, handling multiple tasks, maintaining a positive attitude, and in response to organizational change.
- Proficiency with Microsoft Word, Excel and PowerPoint is required. Must be able to learn new software quickly.
- Must possess excellent leadership, organizational, and computer skills.
- Ability to work effectively and cooperatively with staff, board, clients, and the public.
- Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team.
- Ability to use time productively and contribute to high levels of company operational efficiency and effectiveness.
- Ability to maintain confidentiality of information.
Physical Demands
- Ability to communicate in an active multi-office environment.
- Ability to efficiently operate all job related office equipment (telephone, computer, calculator, fax, copier).
- Ability to communicate via telephone.
- Ability to sit and/or stand for large portions of a workday.
